Portal Terms of Use
The rules that govern your use of the patient portal, X-ray upload function and AI-assisted screening tool.
Version 1.0 · Effective 22 June 2026. These Terms apply alongside our Privacy Notice, AI Screening Disclaimer and Cookie Notice.
Not a diagnosis. Not for emergencies.
This screening is preliminary and is an adjunct to in-person clinical care, not a substitute for it. It does not replace a consultation, a physical examination, a radiology report or a treatment plan.
If you have severe pain, an inability to bear weight, fever, signs of infection, or any medical emergency, contact emergency services (10177) or go to your nearest emergency unit.
1. Acceptance
By creating an account, signing in, uploading an X-ray, submitting symptoms or using the Knee Check or any screening function on this website, you confirm that you have read, understood and agreed to these Terms.
2. Purpose and scope
The patient portal is an administrative and educational tool intended to support — not replace — face-to-face clinical care with Dr Oosthuizen or another appropriately qualified healthcare practitioner. Consistent with HPCSA telehealth guidance, remote functions on this site are an adjunct to ordinary in-person clinical care, not a substitute for it. Treatment decisions are never made on the basis of an online questionnaire or image upload alone.
3. No diagnosis, no emergency care
Nothing on the portal constitutes a diagnosis, radiology report, prescription, medical opinion or treatment plan. Do not use the portal in an emergency. Call 10177 or go to your nearest emergency unit if you need urgent care.
4. Your account
- You must provide accurate, current and complete information when registering.
- You are responsible for keeping your password and devices secure.
- You must not share your account with anyone else.
- Notify us immediately at rudolf@doctoroosthuizen.com if you suspect unauthorised access.
5. Uploads and acceptable use
- Only upload your own medical information, or information for a person you have the lawful authority to act for (e.g. a minor child or person under your care).
- Do not upload information about third parties without their consent.
- Do not upload malicious files, illegal content, or content infringing another person's rights.
- Image uploads are limited in size and file type as set by the upload form.
- The practice may remove uploads that breach these Terms.
6. AI-assisted screening
The X-ray screening function uses AI to provide a preliminary, non-diagnostic indication only. Results may contain errors and must always be interpreted by a qualified clinician in the context of a full clinical assessment. See the AI Screening Disclaimer for the full statement, your rights, and the human-review process.
7. Turnaround and availability
The portal is provided on an "as available" basis. We aim to acknowledge submissions within one business day, but we do not guarantee specific response or review times. The portal is not monitored 24/7. The practice may suspend or modify the portal for maintenance, security or operational reasons.
8. Privacy and confidentiality
Personal and health information submitted through the portal is handled in accordance with our Privacy Notice and applicable professional confidentiality rules. Communications submitted through the portal may be stored in your patient record where clinically relevant.
9. Intellectual property
All website content, including the KOGS grading system text, branding, written material, images and design, is owned by Dr Oosthuizen or his licensors and protected by South African and international law. You may not copy, republish, modify or commercially exploit any content without prior written permission.
10. Limitation of liability
To the maximum extent allowed by law, the practice is not liable for any loss or damage arising from reliance on portal output as if it were a diagnosis, from inability to access the portal, or from your failure to seek timely in-person clinical care.
11. Suspension and termination
We may suspend or close your portal account if you breach these Terms, misuse the service, attempt to undermine its security, or where required by law or professional duty. You may close your account at any time by contacting the Information Officer.
12. Changes to these Terms
We may update these Terms from time to time. The current version will always be available at this URL with the effective date shown above. Material changes will be communicated through the portal at next sign-in.
13. Governing law and complaints
These Terms are governed by the laws of the Republic of South Africa. Complaints can be raised first with the practice Information Officer at rudolf@doctoroosthuizen.com. Privacy complaints may also be referred to the Information Regulator (South Africa).
